Job Title: Administrative Assistant/Office Manager
Location: Columbia, MD (on-site)
Hours: Part time, 24 hours per week (to start, with potential to develop into full-time) – flexible schedule during the weekdays
Pay: $24/hour

Description:
This position is an administrative assistance / office manager for an independent insurance agency.Essential Job Functions:
- Performs general secretarial tasks including, but not limited to, typing, maintaining records, logs and databases; scanning documents, managing electronic files, distributing mail, etc.
- Answers telephone communications, forwards to appropriate individuals and / or records messages
- Communicates in a positive and effective manner with staff, customers and other 3rd parties
- Other duties as assigned
Examples of Work:
- Greets onsite visitors and responds to general customer inquiries
- Sorts and distributes mail to the appropriate individual
- Answers the telephone, assists customers, forwards to the appropriate individual, and documents written and oral messages
- Compiles and maintains data, customer / insurance policy records within agency’s management system
- Runs daily, weekly and monthly reports
- Sets up action items / tasks for appropriate individuals
- Processes, distributes and stores certificates of insurance
- Provides customer outreach for payment and documentation assistance / reminders
- Operates computer and other office equipment
- Inventories, receives, and issues supplies
Minimum Qualifications:
Experience:One year of general office experience. Must be able to type at a productive rate of speed.
Education:
- High school diploma or equivalent.
- Graduation from an accredited university or college with a minimum of an Associate’s Degree preferred.
Required Knowledge, Skills and Abilities:
- Completion of paid insurance licensing course followed by obtaining MD property & casualty insurance license within first 60 days (if not already licensed)
- Experience with web-based and Apple applications
- Knowledge and skill in all aspects of word processing, PDF, and spreadsheet programs
- Ability to type and prepare correspondence
- Must be highly detail-oriented and organized
- Ability to maintain efficient office procedures and a system for keeping track of requested actions and reports
- Ability to maintain confidentiality
- Ability to perform general clerical duties
- Knowledge of business English, spelling, punctuation and grammar, and office procedures
- Ability to be able to monitor and meet deadlines
- Ability to communicate clearly and concisely, both orally and in writing, with colleagues, customers, insurance companies and 3rd parties
- Ability to coordinate daily activities or schedule
- Ability to be flexible and adaptable in a variety of situations and remain calm under trying circumstances
- Ability to work with frequent interruptions and perform multiple tasks simultaneously
Other Desirable Qualifications:
- Active property & casualty insurance license in the state of MD
- Experience with SalesForce
